Product Bids

The Product Bids section allows you to manage customer price offers for products in your store. This feature enables customers to negotiate prices by submitting bids on products they're interested in purchasing. You can review, accept, or reject these bids based on your business policies.

Overview

Product bidding is a powerful tool for engaging customers and potentially closing sales that might not happen at the listed price. When customers submit bids, you'll see all the details including the product, customer, bid amount, and current status. This feature is particularly useful for:

  • Negotiating prices with serious buyers
  • Moving inventory by accepting reasonable offers
  • Building customer relationships through flexible pricing
  • Understanding price sensitivity in your market

Accessing Product Bids

Navigate to Catalog Management > Product Bids from the admin sidebar. The Product Bids list displays all customer bids with their current status and available actions.

Understanding Bid Statuses

Each product bid has one of three statuses:

  • Pending: New bids awaiting your review and decision
  • Accepted: Bids you've approved, indicating agreement to sell at the offered price
  • Rejected: Bids you've declined

The status is displayed as a dropdown in each bid row, allowing you to quickly change the status if needed.

Reviewing Bids

The Product Bids list shows important information for each bid:

  • ID: Unique identifier for the bid
  • Product: Name of the product the customer wants to purchase
  • User: The customer who submitted the bid
  • Bid Amount: The price the customer is offering (shown with currency symbol)
  • Status: Current status (Pending/Accepted/Rejected)
  • Actions: Available actions based on bid status

Accepting a Bid

When you receive a reasonable bid that you want to accept:

  1. Locate the bid in the list (pending bids show Accept and Reject buttons)
  2. Click the Accept button (green button with checkmark icon)
  3. A modal will appear allowing you to add optional notes

  1. Enter any notes you want to include (optional), such as:
  2. "Great! Please proceed with the purchase at this price."
  3. "Accepted. Special discount applied for bulk order."
  4. "Deal accepted. Contact us to complete the transaction."
  5. Click Submit to accept the bid

Once accepted, the bid status changes to "Accepted" and the Accept/Reject buttons are no longer available for that bid.

Rejecting a Bid

If a bid doesn't meet your pricing requirements:

  1. Locate the bid in the list
  2. Click the Reject button (red button with X icon)
  3. A modal will appear allowing you to add optional notes explaining why
  4. Enter notes if desired (e.g., "Bid too low", "Current price is firm", "Promotion has ended")
  5. Click Submit to reject the bid

The bid status changes to "Rejected" after submission.

Quick Status Changes

You can also change the bid status directly using the status dropdown in each row:

  1. Click the status dropdown for any bid
  2. Select the new status (Pending, Accepted, or Rejected)
  3. The status updates immediately

This is useful for quickly changing multiple bid statuses without opening action modals.

Editing Bid Details

To modify bid information:

  1. Click the Edit link in the Actions column
  2. Update the bid details as needed
  3. Click Save to apply changes

Deleting Bids

To remove a bid from the system:

  1. Click the Delete button in the Actions column
  2. Confirm the deletion when prompted

Important: Deleting a bid is permanent and cannot be undone. Consider rejecting bids instead of deleting them to maintain a record of customer interactions.

Creating Manual Bids

While most bids come from customers through your storefront, you can also create bids manually:

  1. Click the New Product Bid button at the top right
  2. Fill in the bid details:

Required Fields

  • Product: Select the product for this bid using the searchable dropdown
  • User: Select the customer who is making the bid
  • Bid Amount: Enter the amount the customer is offering (currency symbol is automatically added)
  • Status: Set the initial status (defaults to Pending)

Optional Fields

  • Notes: Add any relevant information about this bid, such as:
  • Communication details with the customer
  • Reasons for the bid amount
  • Special conditions or requirements
  • Follow-up reminders

  • Click Create to save the bid, or Create & create another to save and immediately add another bid

  • Click Cancel to discard changes and return to the list

Filtering and Searching

Search Functionality

Use the search box at the top of the list to find specific bids by:

  • Product name
  • Customer name
  • Bid amount
  • Notes content

Status Filter

Click the Filter button to filter bids by status:

  • Show only Pending bids (requiring your attention)
  • Show only Accepted bids (successful negotiations)
  • Show only Rejected bids (declined offers)

This helps you focus on bids that need action or review your decision history.

Bulk Actions

Select multiple bids using the checkboxes on the left side of each row, then use bulk actions to:

  • Delete multiple bids at once
  • Export selected bids to a file for reporting or analysis

To select all bids on the current page, use the checkbox in the table header.

Table Management

Sorting

Click on any column header to sort the list:

  • ID: Sort by bid number
  • Product: Sort alphabetically by product name
  • User: Sort alphabetically by customer name
  • Bid Amount: Sort by offered price (lowest to highest or vice versa)
  • Status: Sort by bid status

Click the header again to reverse the sort order.

Adjusting Columns

Click the Toggle columns button to show or hide specific columns based on your preferences.

Pagination

Use the pagination controls at the bottom to:

  • Change the number of bids displayed per page (5, 10, 25, 50, or All)
  • Navigate between pages using the page numbers

Vendor-Specific Bid Viewing

If you're logged in as a vendor (not an administrator), you'll only see bids for products that belong to your store. This ensures vendors can only manage bids for their own inventory.

Configure bidding functionality in System Settings:
